1. Objective

This policy provides a structured mechanism for addressing grievances promptly and effectively, ensuring that every individual has a voice and receives a fair resolution.
2. Scope
This policy applies to all employees, customers, vendors, suppliers, and stakeholders associated with Aarohi Embedded Systems Pvt. Ltd.
3. Definition of a Grievance
A grievance is defined as any formal complaint, concern, or dissatisfaction related to working conditions, policies, procedures, behavior, discrimination, harassment, or any matter affecting an individual’s rights or interests within the organization.
4. Guiding Principles
- All grievances will be treated with confidentiality and sensitivity.
- No individual will be subject to discrimination or retaliation for submitting a grievance.
- All grievances will be addressed promptly and objectively.
- All parties will be treated with respect and given an opportunity to present their case.
5. Grievance Redressal Committee
The organization will form a Grievance Redressal Committee (GRC) comprised of representatives from relevant departments. The Committee will review grievances and recommend resolutions.
6. Procedure for Raising a Grievance
- Step 1: An individual may raise a grievance in writing to their immediate supervisor or manager.
- Step 2: If the matter is not resolved within 5 working days, or if the person feels uncomfortable discussing it with their supervisor, it can be escalated to the HR department.
- Step 3: The HR department will acknowledge the grievance within 2 working days and initiate an investigation.
- Step 4: The GRC will review the grievance, interview relevant parties, and gather evidence within 10 working days.
- Step 5: The Committee will recommend a resolution, and the complainant will be informed of the decision within 5 working days.
- Step 6: If the complainant is dissatisfied with the outcome, an appeal can be submitted to senior management within 5 working days. The senior management’s decision will be final.
7. Confidentiality and Protection Against Retaliation
All grievances will be treated with utmost confidentiality. The company strictly prohibits any form of retaliation or discrimination against an individual for submitting a grievance in good faith.
8. Monitoring and Review
The HR department will maintain a record of all grievances received, resolved, and pending. This data will be periodically reviewed by senior management to identify trends and implement improvements.
9. Policy Review
This policy will be reviewed Yearly and updated as required to ensure its effectiveness and compliance with applicable laws.
